Cancellation & Refund Policy

We understand that plans can change. This policy outlines the cancellation and refund terms for all tours and packages operated by Debyani Tours & Travels. Please read it carefully before confirming your booking. By booking with us, you agree to these terms.

1. Cancellation by Traveler

All cancellation requests must be submitted in writing via email to [email protected] or via WhatsApp to +977 9856014889. The cancellation date is the date we receive your written request. The following refund schedule applies:

Please note that certain components such as domestic flights, helicopter bookings, and permit fees may have their own non-refundable charges that will be deducted from any refund, regardless of when you cancel.

2. Cancellation by Debyani Tours & Travels

• Operational Cancellation: In the unlikely event that we cancel a tour due to operational reasons within our control (e.g., insufficient group size, staffing issues), you will receive a full refund of all amounts paid to us within 15 business days.
• Weather & Force Majeure: If a tour is cancelled or significantly disrupted due to extreme weather, natural disasters, political unrest, government restrictions, or other force majeure events beyond our control, we will offer you either a full reschedule at no extra charge or a full refund of recoverable amounts. Non-recoverable costs (e.g., airline tickets already issued) may be deducted.
• Notice: We will notify you as early as possible in the event of a cancellation and work with you to find the best resolution.

3. Modifications & Itinerary Changes

• Weather/Road Conditions: Changes to the itinerary made necessary by weather, road closures, or similar circumstances will be accommodated at no extra cost to the traveler where equivalent alternatives are available.
• Traveler-Requested Changes: Changes to your booking (travel dates, hotel category, tour package) requested after confirmation may be accommodated subject to availability. An amendment fee may apply.
• Group Size Changes: If your group size changes after booking, please contact us promptly. Pricing may be adjusted accordingly based on the revised group size. We will provide a revised quote before confirming any changes.

4. Refund Process

• Eligible refunds will be processed within 15 business days of the cancellation being confirmed by our team.
• Refunds will be made to the original payment method used at the time of booking (bank transfer, UPI, or equivalent).
• Any bank transfer fees, transaction charges, or currency conversion costs incurred during the refund process will be borne by the traveler and deducted from the refund amount.
• We will provide written confirmation once the refund has been initiated.

5. Special Conditions

Helicopter Tours

Helicopter tours (including Muktinath by helicopter) are entirely subject to weather conditions and Civil Aviation Authority of Nepal (CAAN) regulations. If a helicopter flight is cancelled due to bad weather or safety concerns:

• A full refund of the helicopter component will be offered, or
• An alternative date will be arranged if you wish to reschedule

Domestic Flights

Domestic flights within Nepal (e.g., Pokhara–Jomsom) are operated by independent airlines. Flight cancellations, delays, or schedule changes are subject to the airline's own cancellation and refund policies. We will assist you in processing any claims, but refunds from airlines may take longer and are not within our direct control.

Festival & Peak Season Bookings

Tours booked during major Hindu festivals (such as Dashain, Navratri, or Maha Shivaratri) or peak pilgrimage season (April–June, September–November) may be subject to modified cancellation terms due to advance commitments made with hotels and transport providers. Any such modified terms will be clearly communicated at the time of booking.
